How do I join the CALE/ACEJ Listserv?

Please review the CALE/ACEJ Listserv Community Guidelines (English and French versions in the question above) and, if eligible and interesting in joining, contact the Chief Information Officer, Basil Alexander, at basil.alexander@unb.ca.

What happens after I request to join the CALE/ACEJ Listserv?

If eligible, we will add your email to the Google Group that hosts the CALE/ACEJ Listserv. If added, you will receive a corresponding notification email from Google, and you will then start to receive and be able to post messages on the listserv.

What is the best/easiest way to post messages on the CALE/ACEJ Listserv?

For most people, the best and easiest way to send and reply to listserv posts is through an initial or reply (either “reply” or “reply all”) email to the CALE/ACEJ listserv email address (i.e. CALE-ACEJ-listserv@googlegroups.com). When you post a listserv message, you will receive a notification only if your posting is unsuccessful (i.e. successful posts/emails are not confirmed, similar to when you successfully send someone an email).

What is the best/easiest way to send an email to only a listserv posting’s author (but not the full listserv)?

In such situations, it is best and easiest for most people to type or cut-and-paste the author’s email address into a new message or a forwarded copy of the original listserv posting. If you instead simply “reply” or “reply all” in your email to a listserv posting, the default reply email address is automatically the full listserv (i.e. you need to remember to change the reply address before hitting “send”). If you cannot find a person’s email address for such a non-listserv message (e.g. address not in posting header nor message signature), please contact the Chief Information Officer, Basil Alexander, at basil.alexander@unb.ca, who can forward your message on to the person.

How do I ensure that CALE/ACEJ Listserv messages are not sent to my Junk/Spam folder?

Please update your email settings so that CALE-ACEJ-listserv@googlegroups.com is an approved/authorized/safe email AND that corresponding emails are not automatically sent to your junk/spam folder. Simply reporting that such emails are “Not Junk/Spam” when they come in may not be enough (i.e. your spam/junk filter may still occasionally block some emails).

For two of the largest email services, here are examples of how you can ensure listserv messages are never sent to your junk/spam folder:

  • Microsoft 365 / Outlook hosted address or client – Add the listserv address to your “Safe Senders List” – https://kb.uwss.wisconsin.edu/page.php?id=128640
    • Depending on what you usually use, the top half of that page explains how to do it through the Outlook client on your computer, and the bottom half explains how to do it through the Outlook Web App interface instead (should only need to do it once).
  • Gmail or other Google hosted address – Create a “Never send it to Spam” filter for messages sent “to” (not from) the listserv address – https://support.google.com/mail/answer/6579`
    • The key is to create an email filter for messages sent to the listserv address so that Google knows to “[n]ever send [such messages] to Spam” once you check the corresponding box (you can obviously set your filter to do more if you want).
The Google generated links at the bottom of listserv postings don’t work for me – should I just ignore them?

Most people should simply disregard the Google-generated links at the bottom of a posting. Those links only work if your email is hosted by Google or affiliated with a Google Account, which is not required to participate on the CALE/ACEJ Listserv. If you are interested in having those links work so you can interact with the CALE/ACEJ listserv through the web as well, please refer to the answers for the next two questions.

What are my email and web options for interacting with the CALE/ACEJ Listserv?

In short, all listserv subscribers can participate by email, and there is no requirement for your provided email to be a Google-hosted address or otherwise affiliated with a Google Account (e.g. as an alternate address) to participate that way. On the other hand, if your email is hosted by Google or linked to a Google Account, you have a more advanced web approach available as an additional (but not required) option.

  • Email – the standard approach that works for everyone and that most people use
    • You will receive postings to your email address and can post new material or responses from there by email through the listserv’s email address (i.e. CALE-ACEJ-listserv@googlegroups.com).
    • This option is the only option available if your email is not a Google-hosted address or otherwise linked with a Google Account.
    • This option is easier, more reliable, and more straightforward for most people (i.e. don’t bother with the next and more involved option unless you want to, and you won’t miss out on anything major).
  • Web through Google Groups – the more advanced (but not required) additional option
    • To use this option, your email address needs to be hosted by Google or otherwise linked with a Google Account (e.g. as an alternate address).
      • If that does not apply to you: the links that you see at the bottom of listserv postings to view them on the web will not work (i.e. if you click on the links, you won’t be able to officially login, or it may say you don’t have access or some other error message). Since you receive the postings via email anyway, CALE/ACEJ recommends that most people simply ignore that footer and those links in this case (we currently don’t have an option to remove them).
      • If that does apply to you: you can view the listserv and its postings, as well as manage your listserv subscription, on the web through Google Groups, which is in addition to the standard email method.
    • If you are interested in obtaining or exploring this option, please see the next question’s answer.
If I want to use the more advanced web option, what do I need to do?

CALE/ACEJ expects that most subscribers will not need nor be interested in the more advanced web option, but the following is an initial resource if you want to explore it further.

  • If your provided email address is already hosted by Google or connected to a Google Account, there should be nothing further for you to do (i.e. it should automatically work).
    • For clarity, having a completely separate and unsubscribed Gmail or Google Account (e.g. for personal or other purposes) is not sufficient and will not work. The specific email address you provided for CALE/ACEJ listserv purposes must be hosted by Google or otherwise linked to your Google Account for this option to be available (and feel free to update your provided email to an existing Gmail or Google Account affiliated address if you want).

  • In contrast, if your provided email is not already connected to a Google Account and you are interested in exploring this feature further, you can find further information about setting up or linking to a Google Account at:

Given the above references and additional work involved with the more advanced web option, CALE/ACEJ does not provide further support or information regarding the web option or its features. You are of course welcome to further research and explore it on your own as you wish.

How do I update/change or delete my email address for the listserv (or my information as listed on the Members page)?

Please feel free to contact the Chief Information Officer, Basil Alexander, at basil.alexander@unb.ca. You can also unsubscribe from the listserv by using the unsubscribe email link at the bottom of a posting or by using the Google Groups web interface (if available to you per above), but keep in mind that those options only affect your listserv subscription and not your CALE/ACEJ membership since the two are separate and not linked.

What happens if my email address sends “bounce-backs”? (e.g. out-of-office emails; or former email inactive and forgot to unsubscribe)

When the Google Groups administrative backend indicates that a subscriber’s email address is “bouncing” for an extended time (these are filtered out and not forwarded on to everyone), CALE/ACEJ may investigate such addresses on a periodic basis (e.g. send an individual email to the address). If the resulting bounce-back is a vacation or other explanatory automatic response, or if the person changed their “Subscription” type to “No email” updates, things will remain the same (i.e. the person remains subscribed). But if the bounce-back indicates the email can no longer be found, access is denied, or something analogous (e.g. often happens when someone leaves an organization), CALE/ACEJ will remove that email address as a listserv subscriber.
